We’re hiring a remote Executive Assistant to support myself and our Senior Admin in daily operations for our staffing company focused on government contracts, mostly on the West Coast. This is a mission-critical role. You will begin by assisting our Senior Admin, with a variety of administrative, recruiting, and scheduling tasks. Over time, you may take on more responsibility—including the possibility of transitioning into the Senior Admin role if performance and alignment are strong. If you are detail-oriented, proactive, organized, and thrive in fast-paced environments where accountability matters, we want to hear from you. ________________________________________ Key Responsibilities: • Lead our weekly L10 meeting (bonus points if you know what an L10 meeting is) • Assist with candidate sourcing, screening, and onboarding • Support weekly payroll preparation and timecard tracking • Organize digital documents and maintain Google Drive folders • Manage tasks and projects in Trello • Help track performance metrics and prepare weekly reports • Communicate with remote VAs to ensure follow-through on their tasks • Maintain Google Calendar visibility of all assigned work • Draft and send follow-up emails or Slack messages as requested ________________________________________ Tools We Use: • Trello • Google Workspace (Drive, Calendar, Docs, Sheets, Gmail) • Intuit Online Payroll (helping prep timecards – not running payroll directly) • Slack • Apollo.io, Instantly (used by the lead generation VA) • Adobe Sign ________________________________________ Ideal Candidate Traits: • 3+ years in administrative, executive assistant, or operations support roles • Exceptional English writing and speaking ability • Highly organized, accountable, and self-directed • Comfortable working in a remote setting and taking initiative • Discreet and trustworthy—able to handle confidential information professionally • Flexible and open to evolving responsibilities as the company grows
