Online Business Manager & Executive Assistant (PT) OVERVIEW Special Projects is a boutique marketing consultancy that partners with fast-growing independent businesses and early-stage entrepreneurs to strategically expand their impact and reach. We are seeking a highly proactive and strategically-minded individual to join us as our Online Business Manager & Executive Assistant. This is not just an administrative role; you will be a key partner in driving operational efficiency, anticipating needs, and contributing directly to the strategic growth of our business. You will have significant purview into our operations and the opportunity to take ownership of critical systems and processes, playing a vital role in enabling the CEO to focus on their genius zone. To be successful in this role, you should have previous experience supporting entrepreneurs or consultants, with strong technical skills and systems thinking. RESPONSIBILITIES Strategic Project Support: Assist the CEO in strategic planning and execution of key projects, taking ownership of timelines, resources, and communication to ensure alignment with business goals and proactive problem-solving. Operational Efficiency & Systems Management: Take ownership of and optimize business systems (including CRM, project management, and automation tools), develop and implement efficient workflows and documentation, and proactively identify areas for operational improvement. Executive Support & Calendar Management: Proactively manage the CEO's calendar, travel, and appointments with a strategic understanding of priorities to maximize time and focus. Data Analysis & Reporting: Develop and analyze key business metrics, generating insightful reports and proactive recommendations to inform strategic decision-making. Proactive Problem-Solving & Initiative: Anticipate business and CEO needs, proactively identify challenges and opportunities, and propose well-thought-out solutions and innovative ideas. Strategic Communication & Collaboration: Prepare strategic communications, presentations, and other materials, and effectively collaborate with internal and external stakeholders on behalf of the CEO. Notion Board & Priority Management: Own and optimize the CEO's Notion board to ensure clear visibility of daily, near-term, and long-term priorities and facilitate effective workflow management. Continuous Learning & Improvement: Stay updated on industry best practices, explore new tools and technologies (including AI), and recommend and implement solutions for continuous improvement. QUALIFICATIONS Proactive, ownership-minded individual with orientation toward anticipating needs and contributing beyond tasks. An aptitude for learning new software, including AI tools. Strategic thinker with initiative, driving positive outcomes in resource-lean environments, and eager to leverage technology for efficiency. Proven startup/small business experience in roles with increasing strategic responsibility (e.g., EA, Operations Manager, OBM). Willingness and ability to learn and implement new software, including AI applications. Exceptional organizational and project management skills; adaptable problem-solver. Excellent listener, able to understand underlying needs and provide actionable insights. Strong communicator, capable of synthesizing information and articulating strategic ideas. Highly responsible and invested in the growth of a small business.
