Executive Assistant to Market Research Consultancy

We’re looking for a proactive, emotionally intelligent, and highly organized Executive Assistant to support the three leaders of ARTYFACT. This individual will be the right hand to the leadership team keeping calendars aligned and priorities on track. You’ll play a critical role in driving internal projects forward and supporting people operations as we grow. Specifications • Start Date: May 2025 • Commitment: Full-time contractor • Location: 100% remote (U.S.-based only) • Time Zone Flexibility: Must be available for internal meetings across EST time zone Key Responsibilities • You’ll work closely with our three founders to ensure the business runs smoothly behind the scenes while helping us move big ideas forward. Your responsibilities will include: Executive Support • Manage calendars across multiple time zones to schedule and coordinate internal and external meetings • Prepare meeting agendas, take notes, manage action items, and send follow-ups • Ensure the leadership team is fully briefed and prepped ahead of meetings • Serve as the main point of contact Project & Operations Support • Track leadership tasks and follow through on company priorities and deadlines • Help drive internal initiatives from concept to execution • Keep documentation, drives, and internal systems up to date • Research platforms, tools, and solutions during periods of growth or change • Help refine and improve daily operations and internal processes Business Development & Communication • Support proposal development, scheduling, and tracking of biz dev tasks • Arrange domestic travel and logistics for the leadership team during pitch trips • Assist with the MSA, SOW, and security compliance process People & Culture • Support culture-building efforts such as celebrating team milestones, virtual team building, and internal announcements • Manage hiring, onboarding, and offboarding for contractors and team members What We’re Looking For • 5+ years of experience supporting executive leaders (agency or consulting background a plus) • Outstanding written and verbal communication skills • Highly organized, detail-oriented, and skilled at managing competing priorities • Ability to anticipate needs and take initiative without hand-holding • Emotionally intelligent and good at reading people and situations • A true problem-solver and team player who is flexible, adaptable, and grounded • Tech-savvy with experience in tools like Google Workspace, Slack, Zoom, Hubspot, and Asana • Comfortable working independently and owning outcomes in a remote environment • Bonus if you have experience supporting a founder-led or women-owned business
