Project Overview Ben Hall Law is seeking a ClickUp implementor to design a streamlined, user-friendly internal workspace that will function as the firm’s central operations hub. This system will not handle case management (Smokeball is used for that purpose), but may expand to include that functionality in the future. The ClickUp workspace must enable staff to easily access firm policies, procedures, and internal knowledge, submit issues, and allow firm leadership to track KPIs, manage tasks, and coordinate projects. The system must be clean, intuitive, scalable, and aligned with EOS (Entrepreneurial Operating System) principles. Objectives Create a centralized information hub for all firm staff Implement KPI dashboards with performance tracking at daily, weekly, monthly, quarterly, and annual levels Establish a system for issue submission and resolution tracking Enable firm leadership to manage tasks, goals, and strategic initiatives Ensure scalability and alignment with EOS-based structures Build a simple, intuitive, and visually appealing experience Key Functional Areas 1. Landing Page (Firm Home) Main dashboard for staff Welcome message or mission/vision Quick links to internal resources Optional: firm calendar or announcements feed 2. Firm Policies & Procedures Organized by category (HR, legal process, admin, billing, etc.) Supports rich text formatting, attachments, and version history Editable by authorized users 3. Wiki / Knowledge Base Internal “how-to” and reference guide for staff Includes onboarding resources, FAQs, and workflow documentation Searchable and structured with internal linking 4. FAQs Categorized by topics (HR, IT, case procedures, etc.) Easily editable Linked to related wiki and policy entries 5. Issue Submission System Form for staff to report internal issues or request assistance Automatically generates tasks with categories and due dates Management dashboard to track resolution times and patterns 6. Firm Management Hub Leadership-only dashboard to: Monitor firm-wide and departmental goals Track cross-team tasks and project progress Manage analytics and KPI reporting KPI Tracking & Reporting The implementor must build a robust KPI tracking and reporting system within ClickUp, fully aligned with EOS Scorecard/Measurable frameworks. This includes: Daily, weekly, monthly, quarterly, and YTD tracking Visual dashboards for fast insights Comparative analytics (YTD vs prior year, monthly trends, etc.) Exportable formats for leadership meetings KPIs to Track (non-exhaustive): Operational & Performance Task turnaround time Quality of work (peer or supervisory assessment) Number of motions filed Dismissals / acquittals CLE hours completed Calendar event compliance Error-free time entries Billing & Financial Billed vs. non-billable time Write-offs Revenue billed and collected Invoice-to-payment cycle Categorized expense tracking Firm-Wide Metrics Staff productivity metrics Task completion rates Internal issue resolution time The implementor must: Recommend and refine KPIs based on experience with EOS and business best practices Build tracking using ClickUp’s tools (custom fields, automations, goals, dashboards) Support internal processes that ensure accurate and consistent data input User Experience Requirements Intuitive navigation (maximum 2–3 clicks to core areas) Role-based permission controls Easy to maintain for non-technical users Reusable templates (tasks, policies, issues) Clear documentation and/or tutorial videos for ongoing use Proposal Requirements Please include the following in your proposal: Estimated hours and total cost (flat fee preferred, hourly with scope is acceptable) Timeline including project start, major milestones, and total duration A description of your implementation approach Your experience with EOS and/or law firms (preferred but not required) Whether you offer ongoing support, updates, or training Proposals should reflect a clear understanding of legal operations, the EOS framework, and the capabilities of ClickUp as a customizable business operations platform.
