Virtual Personal Assistant for Immigration Law Firm Owner (Firm + Personal Support)

I am the owner of a growing immigration law firm with offices in Chicago, IL and Apopka, FL. I am seeking a highly capable, resourceful, and trustworthy Virtual Personal Assistant to help manage a combination of business and personal tasks that are critical to keeping my professional and personal life running smoothly. This is a long-term, high-trust role with potential for growth and increasing responsibility over time. Key Responsibilities: Firm-Related Tasks: Monitor, sort, and organize my email inbox; flag and/or respond to certain emails on my behalf as appropriate. Manage and process firm-related invoices, payments, and vendor communication. Prepare financial summaries and background documentation for accountant and financial professionals. Conduct research and prepare briefings on vendors, software, business services, and operational matters as needed. Track and follow up on outstanding projects or to-do items related to firm operations. Help organize and maintain business-related digital files, subscriptions, and memberships. Occasionally assist in coordinating with clients, vendors, or service providers (always respecting client confidentiality and legal ethics rules). Personal Tasks: Research and book travel (hotels, weekend getaways, vacation itineraries, etc.). Schedule and coordinate home maintenance (e.g. septic inspection in Florida, handyman visits, etc.). Manage communications with personal service providers (e.g. trip planners, household contractors, dog walkers, etc.). Help with personal scheduling and calendar management. Track personal to-do list items and ensure timely follow-up. Ideal Candidate Qualities: Highly resourceful, organized, and able to proactively identify and solve problems. Extremely trustworthy and discreet — you will have access to confidential information and financial accounts. Excellent written and verbal communication skills. Tech-savvy and comfortable learning new systems. Self-motivated, reliable, and able to work independently. Strong attention to detail and follow-through. Professional, courteous, and comfortable interfacing with vendors, service providers, and colleagues. Experience supporting business owners or executives is strongly preferred. Familiarity with legal or professional services businesses is a plus but not required. Technical Requirements: Strong proficiency with Google Workspace (Gmail, Calendar, Drive, Sheets, etc.). Familiarity with project management tools (e.g. Asana, Trello, or similar). Comfortable using secure file sharing and password management platforms. Experience using financial tools (QuickBooks, Bill.com, etc.) is a bonus. Compensation & Hiring Preferences: This is a part-time, long-term, remote contract role. Estimated starting workload: 10–15 hours per week, with the potential to grow based on performance and fit. Hourly rate: $30–$45 per hour, depending on experience, skill set, and level of responsibility you’re able to take on. Preference will be given to U.S.-based candidates or overseas candidates with extensive experience supporting U.S.-based business owners, excellent written/spoken English, strong cultural alignment, and proven trustworthiness. Candidate must be willing to sign a Non-Disclosure Agreement (NDA) and submit to a background check prior to hire. Strong professional references will be required.
