We are looking for a pro-active, detail-oriented Administrative Assistant who is tech-savvy and loves to provide outstanding customer service. We need someone who is extremely reliable, detail-oriented, and assertive — someone who will stay on top of tasks, consistently follow up with customers, and make sure nothing falls through the cracks. Having a confident, problem-solving attitude would be a huge plus too! ⭐️ This position provides crucial administrative and organizational support to the owner and other management, managing schedules, correspondence, meetings, and projects, ensuring smooth operations and effective communication. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. Not only will you be an assistant to the owner you will also be a Strategic Partner in this role so it is key for you to enjoy working in an entrepreneurial environment. When interacting with employees at the company, clients or vendors, know that you are representing the owner, our crew, and the company as a whole, so carry yourself appropriately. An exceptional admin will anticipate requests, needs, and potential problems often before the owner has even considered them! Key Responsibilities: Communication and Correspondence: ⭐️ Handling email, phone calls, and other forms of communication on behalf of the owner. *Filter through messages, forward essential communications, and draft replies when necessary. ⭐️ Drafting and editing correspondence, job estimates, release documents, property liens, reports, presentations, and other business documents. ⭐️ Prioritizing and managing emails and phone calls. Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff. ⭐️ Able to handle multiple assignments at once Impeccable Customer Service: ⭐️ Handling outgoing, as well as incoming customer communication ⭐️ Using Monday CRM to monitor and support a top-notch client experience ⭐️ Monitor, manage, and support customer status and project flow using Monday CRM ⭐️ Liaison between accounting and customers as needed ⭐️ Support internal team on operational and financial projects and analyses Scheduling and Calendar Management: ⭐️ Managing and maintaining schedules, including appointments, meetings, and some travel arrangements. ⭐️ Scheduling meetings, sending out invitations, and ensuring all necessary documents and materials are prepared. Other: ⭐️ Excellent communication and time management skills; proven ability to meet deadlines. ⭐️ Representing the company and the Executive in a positive light through great follow-through skills and sound judgment. ⭐️ Helping keep accurate records and stay compliant with company policies or state laws. ⭐️ May assist with other administrative tasks as needed. Work Hours and Benefits: This position will start at 25 hours / week and may increase in hours as you grow in the position. Work hours will start at 8am pacific with varying end times up until 3:30pm pacific time daily Monday through Friday.
