Build my agency’s CRM + Automation System (Zapier, Dubsado, ClickUp, HubSpot)


Description: I own a growing photo, video, website, and social media agency and need an automation expert to streamline my operations. Right now, I handle everything, and I’m overwhelmed—I need automated systems so I can focus on sales and strategy while subcontracting much of the work. Who I’m Looking For: An expert in Zapier, Dubsado (or PandaDoc), ClickUp (or Notion), and HubSpot (or GoHighLevel) who can build a fully automated workflow for: • Lead intake → Discovery calls (Calendly/CRM integration) • Proposals & contracts (auto-generated + sent) • Invoicing & payments (QuickBooks, Stripe, PayPal) • Subcontractor assignment (task auto-creation + work agreements) • Client communication (automated follow-ups & reminders) What You’ll Do: • Set up CRM & automation tools (recommend best platforms) • Create Zapier workflows to automate admin tasks • Integrate lead tracking, proposals, and contracts into one seamless system • Build a simple, repeatable process that a VA/admin can manage • Ensure everything works smoothly and provide brief documentation Ideal Candidate: • Proven experience with CRM automation (HubSpot, GoHighLevel, etc.) • Zapier/Make expert—knows how to connect tools efficiently • Familiar with service-based businesses & subcontractor management • Can build a system that’s easy to use and scale Budget & Timeline: • Fixed price only (open to proposals) • System ideally live within 2-3 months How to Apply: • Provide examples of similar automation systems you’ve built • Send a Loom video explaining why you’re a good fit for this job and how you would approach the project Looking forward to finding the right expert to streamline my agency.
