Part Time Administrative Assistant for Construction Company Experience in an administrative management role in the construction industry is highly preferred. We need a highly organized and detail-oriented Administrative Assistant on a part-time hourly basis to support our NYC luxury residential construction company. Reponsibilities and weekly hours may vary depending on the skills and availability of the support person. At a minimum, we need someone to do the following: -Project Documentation Maintenance - Maintaining and organizing project documentation, including contracts, insurance documents, permits, and other essential records. This involves receiving the documents via email from multiple parties (internal team members, clients, architects, subcontractors) and ensuring they are in the proper digital format (mainly PDF), rename them with our company-specific naming convention, organizing in google drive and uploading to our construction management software. - Phone Monitoring - Check office phone and text messages and return or forward messages as appropriate (all app-based). - Calendar Entries - Occasional event entries for one of our partners so he remembers his meetings. Depending on skills and experience, we could also use help with: - Reviewing American Express receipts (sent by our PMs via Expensify) and making sure they have jobs and codes assigned. - Drafting AIA contracts. - Preparing AIA payment requisitions. - Reviewing subcontractor billing and organizing for approvals and payment. - Uploading change orders into our Construction Management software. This person will need: - Proven experience in administrative roles, preferably within the construction industry or a related field. - Exceptional attention to detail, strong organizational skills and process orientation. - Excellent written and verbal communication skills, with the ability to interact professionally with a diverse range of stakeholders. - Proficiency in Microsoft Word and Google Workspace. - Ability to work independently and take initiative, as well as function as part of a collaborative team.
