We are interested in multi-skill VA's to assist with admin tasks among other strategic growth tasks. Applicants with any experience within the realm of construction, architecture, engineering, or manufacturing go to the top of the list. SOW 1. Administrative Support Manage consultant’s calendar, schedule meetings, and set reminders. Organize emails, respond to inquiries, and flag priority communications. Prepare and format reports, presentations, and other documents. Maintain and update client records, project files, and documentation. Assist with data entry and database management. 2. Communication Management Serve as a point of contact for initial client inquiries. Draft and send follow-up emails, proposals, and invoices. Coordinate with vendors, subcontractors, and other stakeholders. Manage social media accounts and professional networking platforms (LinkedIn, etc.). 3. Project Coordination Support Assist with tracking project milestones and deadlines. Organize and maintain project documentation and change orders. Coordinate meetings with team members, contractors, and clients. Follow up on pending tasks and outstanding deliverables. 4. Financial and Billing Assistance Assist with invoicing, payment tracking, and expense reports. Monitor accounts payable/receivable and follow up on overdue payments. Maintain financial records and provide basic bookkeeping support. 5. Marketing and Client Engagement Support Assist with the creation and distribution of newsletters, blog posts, or marketing materials. Update and maintain the company website and social media presence. Conduct market research on industry trends, competitors, and business opportunities. Compile and maintain client outreach lists and CRM data. 6. Workflow and Process Improvement Identify opportunities to automate repetitive tasks and improve efficiency. Research and recommend software tools for project and business management. Develop standard operating procedures (SOPs) for routine tasks. Assist in onboarding new employees or subcontractors. 7. Miscellaneous Tasks Perform other administrative and operational tasks as needed. Support the consultant with personal administrative tasks, if required. Qualifications & Skills Required: Proven experience as a Virtual Assistant, Executive Assistant, or similar role. Familiarity with construction industry processes and terminology (preferred but not required). Proficiency in Microsoft Office, Google Workspace, and project management software. Strong organizational and time-management skills. Excellent written and verbal communication abilities. Ability to work independently and maintain confidentiality. Working Hours & Compensation: This is a remote, part-time (or full-time) position, with flexible working hours. Compensation to be determined based on experience and workload requirements. Performance Review: The VA’s performance will be reviewed periodically based on efficiency, accuracy, and overall contribution to the consultant’s business goals.
