Position Overview: The Event Planner Coordinator supports the Event Planner in coordinating, organizing, and executing events. This role involves handling detailed logistics, vendor communications, administrative tasks, event setup and breakdown, and ensuring seamless event execution under the guidance of the Event Planner. The Event Planner Coordinator will be required to travel and be on-site for all identified events. Key Responsibilities: Assist the Event Planner in coordinating event logistics, including venue setup, vendor scheduling, catering coordination, and event timelines. Create event floorplans to ensure efficient space utilization. Book vendors and manage vendor relationships before and during events. Communicate event plans clearly and effectively to the Planner Coordinators. Communicate with vendors and suppliers to confirm services, deliveries, and manage scheduling. Prepare and distribute event-related documents such as schedules, agendas, and task lists. Help maintain event budgets by tracking expenses, obtaining quotes, and reconciling invoices. Coordinate registration and attendee communications, including invitations, confirmations, and reminders. Support on-site event execution by leading event setup, breakdown, attendee registration, coordination of volunteers, and troubleshooting issues. Collect and organize feedback from attendees, staff, and vendors post-event to help improve future events. Maintain accurate records and documentation for each event. Provide administrative support to the Event Planner as needed, including scheduling meetings, managing event calendars, and handling correspondence. Assist in executing the vision and achieving the goals established for each event. Qualifications: Strong organizational and time management skills. Excellent written and verbal communication skills. Detail-oriented and able to manage multiple tasks simultaneously. Proficiency with Google Suite, Microsoft Office, and event registration platforms. Ability to work effectively both independently and as part of a collaborative team. Previous experience in event planning, coordination, hospitality, or a related field is preferred but not required
