Why This Role Rocks: We’re a rapidly scaling multifamily investment and property-management firm, looking to continually scale. We already run Appfolio for property accounting and QuickBooks Online for our management/construction company, and we’re keeping that tech stack—now we need a U.S. bookkeeping wizard to turn it into a near-autopilot system. Your Mission Phase 1. Foundations & Cleanup -Timeframe: First 4–6 weeks (heavy lift) -What You’ll Do • Audit our current Appfolio & QBO setups • Fix lingering cash-reconciliation quirks in Appfolio • Design crystal-clear SOPs in ClickUp—checklists, loom vids, screenshots—so our overseas team can follow every step 2. Automation Build-Out -Timeframe: Concurrent with Phase 1 --What You’ll Do • Implement smart bank feeds, rules, and recurring entries in QBO • Optimize Appfolio workflows & custom reports • Identify Zapier/Make opportunities to purge manual data entry 3. Ongoing Guardian -Timeframe: After onboarding --What You’ll Do • Monthly diagnostic sweep—keep Appfolio “green” and QBO current • Rapid-response troubleshooting when oddities appear • Continuous process tweaks so we stay under 10 hrs/month of your time **What Success Looks Like** 90 %+ of routine bookkeeping tasks run automatically. *Offshore bookkeepers close each month within 5 business days. *Appfolio diagnostics stay clean; QBO matches reality, always. *Your workload stabilizes at ≤ 10 hrs/month while we scale. **Must-Have Superpowers** *U.S.-based bookkeeping pro with 3+ years hands-on in both Appfolio and QBO. *Proven track record of automating workflows and reconciling multi-entity real-estate books. *Native fluency in SOP creation—(A plus: ClickUp docs that even rookies can follow.) * Comfortable mentoring offshore talent and communicating in plain English. *Real-estate accounting nuance (security deposits, CAM, owner draws). **Bonus Skills** *Zapier, Make, or similar automation tools. *Experience slashing bookkeeping costs for growth-stage companies. **Engagement & Compensation** *Phase 1 (Setup): ~30–60 hrs over 4–6 weeks. *Phase 2 (Maintenance): Hourly/retainer, targeting ≤ 10 hrs/month. *We work on Eastern Time but are flexible with meeting windows. **Ready to Become Our Ninja?** *Send a quick proposal that covers: *Your biggest Appfolio or QBO automation victory. *A snapshot summary of an SOP you built (no sensitive data).
