We’re searching for an Administrative Assistant to support our operations team with essential administrative tasks. This role is ideal for someone who is detail-oriented, enjoys problem-solving, and takes pride in keeping things organized and running smoothly. This hourly position offers flexibility with 20 - 40 hours per week at a competitive hourly rate of $15 - $17 per hour, with the opportunity to grow into a full-time role in the future. Responsibilities: Administrative Support & Data Management - Perform accurate and timely data entry across various platforms. - Maintain and organize digital and physical files to ensure easy access and retrieval. - Assist in updating and managing company databases and records. Billing & Financial Reconciliation - Support billing reconciliation, ensuring all invoices and financial records are accurate and properly categorized. - Assist with tracking and verifying financial transactions for internal reporting. Timesheet & HR Support - Review and verify employee timesheets for accuracy and compliance with company policies. - Help track time-related discrepancies and communicate with relevant team members to resolve issues. - Assist in resume screening to support the hiring process. General Office & Operational Support - Handle basic administrative tasks, including organizing documents, scheduling meetings, and managing internal communications. - Provide occasional support for special projects and ad-hoc operational needs. Qualifications: Requirements: - Previous experience in an administrative, clerical, or office support role preferred. - Strong attention to detail and ability to manage multiple tasks efficiently. - Proficiency in Google Suite (Google Drive, Google Docs, Google Sheets, Google Calendar, Gmail, and other Google tools). - Ability to learn and adapt to new software and systems quickly. Skills: - Strong organizational and time-management skills to handle multiple responsibilities effectively. - Excellent written and verbal communication skills. - Ability to work independently and collaboratively in a fast-paced environment. - Basic understanding of data entry best practices. - Meticulous attention to detail with a focus on accuracy and efficiency. - Strong problem-solving mindset with a proactive approach. - Adaptability and quick learning to navigate new tools and systems. - Clear and professional communication with internal teams. Reporting Structure: Reports to the Agency Operations Director & Agency Operations Manager, with a collaborative workflow across teams. Location: Remote, with Philadelphia-based candidates preferred.
